Q.1. Why does communication break down? How can communication be improved?
Ans: Communication breakdown can be defined as failure in exchange of information which is either verbal or non-verbal. Conveying ideas and explaining information to others is an essential part of a manager’s job from daily feedback and instructions to in-depth employee development and training. The information must flow in a concise, clear and effective way; and such failure in transmitting information will lead to communication breakdown. A ‘Communication breakdown’ can result in serious problems within an organization. They generate confusion, conflict and misunderstanding in the organization by creating bottlenecks, delays and distortions of information.
Communication break down / failure can happen cause of language barrier, lack of clear information, time pressure, emotions and distractions. All these barriers can be summarized into below types:
1. Physical Barriers: The barriers of communication caused by the physical characteristics of the individuals and the surroundings.
2. Language or Semantic Barrier: Language used in the message can also act as the barrier, especially when the receiver doesn’t know the language used by the sender.
3. Perceptual Barriers: These are due to differences between individual’s perceptions to organize, analyze and understand their environment.
4. Cultural Barriers: The differences in cultural background of people also act as the barriers to communication.
5. Structural Barriers: These may be due to a faulty designing of various jobs or the existence of inadequate policies, procedures and rules.
6. External Barriers: Like noise (loud noise of machines), time and distance (people working in different time zones).
7. Organizational Barriers: Various factors like interpretation of words, status barriers, filtering of information based on hierarchy, pressure of time etc. comes under this category.
